Before starting work at Trinity Health, you need to complete a variety of important action items to ensure a smooth onboarding process. Use this page to guide you each step of the way.

New Hire Mandatory Processes
The following steps must be completed before you will be able to begin work.
Throughout the pre-employment process, most of our communication will come through email. Please watch for multiple emails between now and your scheduled start date. Be sure to check your spam/junk folder if you don’t see an email within the timeline below.
Sign Your Offer Letter & Enter Personal Information
- This step will be completed in Workday (Candidate).
- All 3 tasks (Offer letter, SSN, Personal Information) must be fully completed before we will be able to proceed.

Our HR Service Center is available to assist you with signing your offer letter and completing your pre-employment tasks in Workday. They can be reached at 1-877-750-4748, Option 3.
- This step will be completed through Sterling (check spam for Sterling email link).
- This is an integral step of your onboarding process, so it is important to fill out the information as soon as possible and as accurately as possible. Please note: this application will not save your progress so you should expect to complete this step in one session.
- It is required to fill out the Employment Verification portion as accurately as possible, including correct dates of employment from the last 7 years.
- Please do not include any unpaid/volunteer opportunities, or employment outside of the United States, as Sterling will not be able to verify it.
- Sterling may email you directly to request additional documentation or contact information if they are unable to complete the verification.

This step can be completed virtually through our partner Equifax and should be completed prior to your start date. Review the Virtual I-9 Process Guide for assistance in utilizing the virtual verification method.
The Department of U.S. Citizenship and Immigration Services (DCIS) requires a valid I-9 Employment Verification to be on file for all new and returning colleagues.
Important: Complete Your I-9 Form Before Your First Day!
As part of your onboarding process, one of your first required tasks is completing the federal Form I-9.

Step 1: Watch for Two Important Emails from Equifax
You will receive the following emails from donotreply@equifax.com:
- Email Subject:
- “Important: Form I-9 is Due Before your First Day”
This email includes the link to complete Section 1 of your Form I-9.
- “Important: Form I-9 is Due Before your First Day”
- Email Subject:
- “Form I-9 Password Information”
This email contains your unique password to log in and complete the I-9.

Step 2: Complete Section 1 & Section 2 of the Form I-9
Action Required:
- Use the link in the first email and the password from the second email to log into the Equifax I-9 system.
- Complete Section 1 & Section 2 verifying your authorization to work
Deadline Reminder
Your I-9 must be completed as part of your pre-boarding prior to being cleared to start. Please act promptly to avoid delays.

You can choose to complete your Colleague Health appointment at either Germantown or Silver Spring (note that appointments at Germantown are limited as it is a smaller office so if you can’t get an appointment at Germantown, please look at the Silver Spring openings).

Important Details for day of appointment:
- Please complete the following paperwork and bring the hard copies with you to your appointment.
These must be completed in full prior to arrival otherwise they will not take you for the appointment. - Please arrive 30 minutes earlier than your scheduled time to allow for parking and receiving a visitor badge.
- Please do not wear perfume, cologne or scented lotions to your appointment due to allergy sensitivity of office personnel.
- Be sure to have your immunization records with you (including flu and Covid vaccinations).
- Bring a current, non-expired, government-issued photo ID to this appointment.
- Please be sure to allow 1-2 hours for your Colleague Health appointment.
- Failure to arrive on time with completed documentation will result in delays. Those delays could result in delays to your start date.
Important Reminders:
- If for any reason you need to reschedule your appointment, please reschedule through the original Colleague Health link. Please remember to cancel your first appointment so another new colleague can take advantage of that time slot. If you reschedule your appt, please respond to this e-mail to let me know the date, time and location of your new appointment.
- Missed appointments or scheduling your appointment past the timeframe listed above can result in delays in your start date.
- After your Colleague Health appointment has been complete, please proceed to the Security Office to register your vehicle and have your photo taken for your ID badge (be sure to dress professionally).
